This policy explains how Professional HVAC Websites LLC handles information shared through this website, by email, or by phone about a website project.

1. Information you provide

The inquiry form asks for your business name, contact name, phone number, email, city and state, and preferred pricing option. Your current website and additional comments are optional. We also receive information you choose to share when you call or email us. Please do not send passwords, payment-card details, or sensitive personal information through the form.

2. How we use it

We use inquiry information to respond, discuss your project, prepare a scope or proposal, and provide services if you become a customer. We may keep relevant communications to manage the working relationship, resolve questions, and meet applicable recordkeeping obligations. The form does not sign you up for a marketing mailing list or purchase a service.

3. Providers and technical information

The website application does not create an inquiry database. When delivery is configured, the form sends an email through Resend to our business inbox, hosted by Google/Gmail. The intended deployment provider is Vercel. Hosting and email providers may process IP addresses, timestamps, browser/request information, delivery records, and other operational data to run and secure their services. Provider retention and processing settings may differ from ours.

We may share information with service providers as needed to operate the site, handle communications, and deliver the services you request, or where required by applicable law. Provider information is available in the privacy notices for Vercel, Resend, and Google.

4. Cookies, analytics, and payments

The current website code does not add analytics, advertising trackers, cookies, or browser storage. Hosting providers may process technical data for delivery and security. If analytics, embedded third-party content, or other tracking is added, we will review the disclosures and any consent requirements before enabling it. This website does not collect payments or payment-card information.

5. How long we keep information

We delete inactive project inquiries 12 months after our last contact. If you become a customer, we keep relevant records as needed to provide the project and ongoing services and to meet applicable legal, tax, accounting, or dispute-resolution obligations. Records required for those purposes may be kept longer than 12 months. Provider logs and backup copies may remain until their applicable retention cycles expire.

6. Your questions and choices

You can ask to access, correct, or delete information you have provided by contacting us below. We may need to verify the request, and some records may need to be retained for legitimate obligations. Privacy rights and exceptions depend on applicable law; this policy does not limit rights you may have.

7. Security

No method of electronic storage or transmission is completely secure. Please share only what is needed for your inquiry and contact us if you believe information has been sent or used incorrectly.
